Migrating from another system
How it works Lab → Migrate: pick your source (LabStar/3Shape, LabNext, QuickBooks-only, or generic CSV) and upload your CSV exports (dentists, materials, pricing, cases — any subset, any column naming; we recognize the common synonyms, and one combined file with a row per job works too). You get a dry-run diff showing exactly what will be created before anything is written; Apply migration commits it. Review before you apply. A count is not enough to tell whether an import is right, so the preview also shows the shape of it: your practices with their doctors and how many cases each one brings, what the work is (what repeats, and how often), the stages the cases land in, and what came through per field. That last one is the quickest way to spot a column we did not recognise — if it says `material 0 / 390`, your material heading is one we have not seen, and the [format guide](/docs/migration-formats) lists the names we do. The composition list is what catches an import that is subtly wrong. If your old system made you raise extra orders as a workaround — a line for a design update, say, or an approval — they show up at the top of that list as a few hundred of the same thing, and they should not become cases. Safety guarantees Apply is transactional and idempotent — re-applying never duplicates rows. Either the whole import lands or none of it does, so a failure is always safe to retry. Large imports run in the background. Apply migration hands the job off and the page shows a progress bar; you can close the tab and come back. A decade of history — 100,000+ cases — is a few minutes, not a click that hangs. Existing Casetop cases are never overwritten. Bad rows are listed, not fatal — you see a useful diff even from imperfect exports. The side-by-side month We recommend keeping your old system read-accessible for 30 days while your team runs Casetop for real. Most labs are fully live within 72 hours. Want us to do it? White-glove migration is included — send us your exports and we handle the rest.
